Q: What is Document.Versions?
A: Document.Versions is an add in for Word 2007 that allows you to
create snapshots or versions of documents. It stores those versions
right in the Word 2007 document you’re working in so they are right
at your fingertips.
Q: How can Document.Versions be used?
A: People who need to create many drafts of a document would, many
times, like to save previous versions of the document both for a
backup but also so they can recall or reuse the way something was
written. Document.Versions allows document creators to take
snapshots of a document at any stage in its development and go back
to that stage at any time. Document.Versions also supports an import
feature allowing users to create a “briefcase” of unrelated
documents in a single .docx file. Any valid Word 2007 document can
be imported into a .docx file (which is the file extension Word 2007
uses) and stored in the document for later use.
Q: Is the trial version limited in any
way?
A: The trial version is fully functional with no features disabled.
You have 30 days from the time of install to try the product. After
that you will be required to purchase a license .
Q: Doesn’t Word 2007 already support
versioning ?
A: Yes and No. Versioning within the document was removed with Word
2007. Microsoft supports document versioning however though it’s
enterprise tool SharePoint. This involves saving each version of
your document to a server-based database. The versions are only
available when you’re connected to the server. With
Document.Versions, the versions travel with the document so they’re
always available.
Q: What about the document management in
Office Live Workspace?
A: As with Sharepoint, the versioning supported through Office Live
Workspace is server-based. This is powerful for certain environments
but does not all users to take versions with them or control and
manage the versions in the document itself. Document.Versions is
fully compatible with the versioning in Office Live Workspace. Any
version saved with Document.Versions will be saved to Office Live
Workspace document management system.
Q: If I save a version using SharePoint
or Office Live Workspace and another using Document.Versions, won’t
there be two versions of the same document in two separate places?
A: Yes. If you save versions using Document.Versions and then save
that document in SharePoint, the version in SharePoint will include
any versions you saved in the document.
Q: Doesn't Windows Vista support file
versioning?
A: Yes. However the versioning in Vista is quite a bit different
than the versioning supporting in Document.Versions. First, Vista
versioning is included as a part of the file backup system and is
not intended for the document authoring scenarios for which
Document.Versions was designed. Second, the versions created with
Vista backup are kept on the computer on which the backup was made.
The versions do not travel with the document. Versions created with
Document.Versions are compatible with Vista versioning.
Q: Into what file format does
Document.Versions save my document?
A: Document.Versions does not change the format of your Word file,
it just adds new information to the .docx file you already have. It
leverages the structure of the Open Document Format of Word 2007 and
adds the version information as an integral part of the file. Even
with multiple versions saved, you still are working with a single .docx
file.
Q: Are documents that include versions
saved with Document.Versions compatible with SharePoint?
A: Yes. Documents that include versions saved with Document.Versions
are saved with the correct Open Document Format architecture that is
used in Word 2007. SharePoint will see Document.Versions enabled
document just like any other Word 2007 document.
Q: Can versions saved with
Document.Versions be edited and resaved?
A: Not directly. Once a version has been saved, it is stored in the
active document but cannot be edited. To edit the document, it has
to be exported to an external document where it can be opened like
any other Word 2007 document. Once edited, it can then be
re-imported as another version. Any version can also be "restored"
which makes it the active document. Once restored, it can be edited
through the standard Word 2007 interface.
Q: Does Document.Versions support
earlier versions of Word?
A: No, Document.Versions supports Word 2007 (and later). This
includes the type of files you are able to import with
Document.Versions.
Q: How can saved versions be retrieved
later?
A: DAny saved version can either be restored, which means it becomes
the active document (the document you see when you open it up in
Word 2007) or it can be exported to an external file. The Version
Viewer will allow you to select any previous version you created and
export it to a .docx file on your hard disk or network.
Q: Is there a 64-bit version of
Document.Versions?
A: Not at this time. However the 32-bit version can be used in
Office installations on 64-bit machines. Office 2007 currently only
ships in a 32-bit version and Document.Versions appears to work
without issues in 32-bit Word 2007 installed on 64-bit machines.
Q: What if a friend or co-worker doesn’t
have Document.Versions? Will they still be able to open my document
that includes versions saved with Document.Versions?
A: Yes. Users who don’t have Document.Versions installed will only
be able to see the active document but it will function just like
any other Word 2007 document.
Q: If a person without Document.Versions
installed opens my document, will it erase all my saved versions?
A: No. The other person can work with the document like any other
Word 2007 document but cannot access your saved versions. The
versions included in the file will be preserved.
Q: Can I password protect versions saved
with Document.Versions?
A: The first release of Document.Versions does not support password
protection but we plan to offer this in a future release. Versions
are exposed and available to anyone who has Document.Versions
installed. If your active document, however, is password protected,
other users won't be able to access your versions through the
Document.Versions interface.
Q: Does Document.Versions work with
other Office 2007 products?
A: Document.Versions is the Word 2007 component of the
Office.Versions suite. Spreadsheet.Versions for Excel 2007 and
Presentation.Versions for PowerPoint 2007 are scheduled for later
release.
